How it works
Set the rules once. Regenerate forever.
Add your providers, your shift types and the rules that actually matter to your group: how many nights in a row, whether a day shift can follow a night, how much of a gap you want between call. RotaBay keeps those rules with the team, not in someone's head.
Pick a date range and generate. The engine fills every slot, respects every hard rule, and spreads the weighted load as evenly as it can. If a slot genuinely cannot be filled without breaking a rule, it says so instead of quietly breaking one.
Nothing is locked in. Drag an assignment to a different provider, pin the ones that must not move, and regenerate around your pins. The grid editor is the same tool behind the demo above.

Publishing
One link. Everyone knows who's on.
Publish a schedule and every provider gets a page they can open with no account: who is on now, who is up next, and a calendar feed that stays current. No more texting a screenshot of a spreadsheet.
- One link, no login: anyone on the team can check who's on right now
- Updates the moment you regenerate or make a manual edit
- Subscribes to any calendar app over ICS, per provider or for the whole team

The fairness math
Not every shift costs the same
RotaBay scores fairness on weighted load, not shift count. A night is heavier than a day; a weekend or a holiday makes any shift heavier still. The score above is how evenly that weighted load lands, per provider, adjusted for FTE.
| Shift | Base weight | Multiplier | Counts as |
|---|---|---|---|
| DA weekday day shift | 1 | ×1 | 1.0 |
| NA weekday night shift (your weight) | 1.5 | ×1 | 1.5 |
| DA day shift on a weekend | 1 | ×1.5 | 1.5 |
| NA night shift on a federal holiday | 1.5 | ×2 | 3 |
Every multiplier is a default you can change per team; nights, weekends and holidays are just the ones that carry a weight out of the box.
Compared to what you're doing now
Most groups are one Excel file with a missing rule
The spreadsheet
- Someone builds it by hand, then rebuilds it when a rule is broken
- No record of whether the load is actually fair
- Shared as a screenshot or a link only the scheduler can edit
RotaBay
- Generated in seconds, respecting the rules you set
- A fairness score and a weighted tally, visible to everyone
- A published page anyone can open, plus calendar feeds
