These terms apply when you use RotaBay. By creating an account or using the service, you agree to them. We've kept them straightforward. If you have questions, use the contact link in the footer below.

The service

RotaBay is on-call and shift scheduling software for medical teams, provided by RotaBay. It includes a free Roster plan and a paid Practice plan, a schedule generator, a grid editor, published no-login schedule pages with calendar feeds, swap requests and time-off tracking. We may add, change or remove features over time to improve the product.

Your account

You're responsible for keeping your login details secure and for everything that happens under your account. Let us know straight away if you think someone else has accessed it.

You must give accurate information when you sign up and keep it up to date.

Not a clinical system

RotaBay is scheduling software. It is not designed or intended to store patient information, clinical records, or protected health information, and you agree not to enter any into the service. It stores names, emails and schedules for the people building and working the roster.

Acceptable use

Use the service lawfully and reasonably. Don't use it to break the law, infringe others' rights, send spam, or attempt to disrupt, attack or reverse-engineer the service.

You're responsible for the content and data you put into the service, including provider, schedule and rule information, and for making sure you have the right to use it.

Plans and payment

The Roster plan is free for as long as you use it within its intended scope: 1 team, up to 10 providers, 2 active schedules. The Practice plan is billed monthly at the price shown on our pricing page. There are no per-provider fees and no long-term contract.

Subscriptions renew automatically until you cancel. You can cancel Practice at any time; when you do, you keep access to Practice features until the end of the current billing period, then drop to the Roster plan.

Payments are handled by our payment processor. Fees charged by your card network or bank are separate from our prices.

Your data

The schedule data you create (your teams, providers, shift types, schedules, swap requests and time off) belongs to you. We store and process it to provide the service, as described in our Privacy Policy.

You can export or delete your data, and you can close your account at any time.

Published schedule pages

Each published schedule has a public page reachable only by its unique link. You're responsible for sharing that link only with the people it's meant for, and for the accuracy of the rules and assignments you publish.

Availability

We work hard to keep the service running, but we can't promise it will always be available without interruption. We may carry out maintenance, and occasionally things go wrong. We'll do our best to minimise disruption.

Warranties and liability

The service is provided "as is". Generated schedules are a scheduling aid, not a compliance guarantee; you remain responsible for reviewing a schedule before you rely on it. To the extent the law allows, we don't give warranties beyond those required by law, and our liability to you is limited to the amount you paid us in the 12 months before the event giving rise to the claim.

Nothing in these terms limits liability that can't be limited by law.

Ending the agreement

You can stop using the service and close your account at any time. We may suspend or close an account that breaks these terms or the law, and we'll give notice where it's reasonable to do so.

Changes to these terms

We may update these terms from time to time. If we make material changes, we'll let you know. The "last updated" date above reflects the current version, and continuing to use the service means you accept the updated terms.
